Sales Administration Specialist, AI Affinity

• Manage the commercial sales process from preparing quotations and processing orders through invoicing and license management
• Provide operational support to Account Executives and the sales team and handle administrative tasks
• Maintain customer, contract, and license data in CRM and ERP systems
• Prepare maintenance and contract invoices
• Monitor contract terms, renewals, and cancellation notice periods
• Support partners and customers by phone and in writing with administrative inquiries
• Prepare sales reports and analyze key performance indicators
• Use AI tools for quotation texts, summaries, data maintenance, and reporting
• Further develop automation and process improvements
• Collaborate with Sales, Accounting, Support, and Product Management

• Successfully completed commercial training or equivalent qualification
• 3 to 5 years of professional experience in inside sales, sales administration, order processing, or a comparable role
• Proficient in using CRM and ERP systems
• Experience with software licensing and maintenance models is an advantage
• Basic accounting knowledge is a plus
• Experience with AI tools such as Claude, ChatGPT, or Copilot, or willingness to use them confidently
• Structured, meticulous, and reliable approach to work
• Strong communication skills and a service-oriented mindset
• Initiative and a focus on processes and continuous improvement
• Fluent German, both written and spoken, at least C1 level
• Good Excel skills
