Operations Specialist

• Manage day-to-day People Operations, including onboarding, offboarding, employee requests, benefits administration, and personnel records
• Execute recruitment for individual-contributor and coordinator-level roles from sourcing and screening through interviews, candidate communication, and offers
• Identify operational gaps and create or improve processes, tools, workflows, and HRIS practices
• Own problems and initiatives from planning through completion, escalating issues when appropriate
• Build relationships across a distributed team and support staff wellness and connection
• Organise team events and the annual retreat
• Use feedback and pulse survey data to improve the employee experience
• Manage Google Workspace and other software access, equipment and supplies, vendors, contracts, documentation, and compliance records
• Partner with the Deputy Director, People Operations to execute priorities and shape the function as YLabs grows
• 3–6 years of experience in operations, people operations, HR, administration, or a related field
• Experience in an NGO, research institute, social impact organisation, or distributed/multi-country organisation is a plus
• Highly organised and able to manage multiple priorities independently
• Ability to build and improve operational systems
• People-centered judgment, discretion, and empathy
• Experience supporting or managing recruitment processes, including sourcing, screening, interview coordination, candidate communication, and offer logistics
• Ability to exercise autonomy and judgment
• Clear and professional verbal and written communication
• Curiosity, initiative, and willingness to challenge existing processes
• Experience supporting a distributed, multi-country team is desirable
• Experience managing vendor or contract relationships is desirable
• Experience with an HRIS such as BambooHR is desirable
• Experience in a growing or evolving organisation where processes are still being built is desirable
• Satisfactory background checks and criminal record clearances required as a condition of employment
• Travel for in-person meetings or off-sites fully reimbursed
