Executive Assistant
About the role
• Provide administrative and coordination support to an executive
• Manage and organise the executive’s Outlook inbox using folders and categorisation
• Respond to routine enquiries and correspondence where appropriate
• Identify and action emails requiring follow-up
• Manage and maintain the executive’s calendar and schedule
• Schedule appointments, meetings, calls, and discussions
• Coordinate one-on-one meetings with the property management team
• Attend meetings to understand context, priorities, and decisions
• Take clear and accurate meeting notes
• Review meeting recordings, transcripts, and notes where required
• Convert agreed actions and commitments into actionable tasks
• Schedule follow-up meetings and block time in the executive’s calendar
• Attend property management meetings on behalf of or alongside the executive
• Record relevant notes, decisions, and action items
• Coordinate follow-up activities and track commitments through to completion
• At least 2 years of experience in an administrative role
• Experience working with international clients or teams, particularly from Australia, the United States, or New Zealand
• Proficiency with software or tools such as Microsoft Office Suite, Google Workspace, and project management tools
• Experience managing a calendar or scheduling appointments for an executive or team
• Comfortable communicating with clients, vendors, and team members via calls, text, email, or other communication channels
• Self-provided equipment: computer with 8GB RAM, 512GB HDD/SSD, Intel Core i5 or AMD Ryzen 5 (12th generation or newer), Windows 11 Home or Pro
• Power backup such as a power station, power bank, or UPS
• Secondary/external monitor
• Noise-cancelling headset and webcam
• Minimum internet bandwidth of 40–50 Mbps for both download and upload
• NBI or Police Clearance
• Government-issued ID
• BIR self-registration and required government contributions
• Ability to work 7AM to 4PM MNL time, Monday to Friday
• English proficiency test and personality test
• Quiet, sufficiently spacious, closable work-from-home location
• Dual monitor setup and backup internet requested
• Willingness to comply with Wingman IT and security requirements, system monitoring, and safety tools
• Agreement to independent contractor engagement under Singapore law with Philippines Resources Pte. Ltd.
