Executive Assistant

About the role

• Support the Sales Director and senior managers with executive, administrative, and sales support.
• Prepare client proposals, quotations, and supporting documents.
• Manage client deals, opportunities, and records in the CRM.
• Follow up client communications, track responses, and support account management.
• Respond to client correspondence on behalf of managers where required.
• Manage and organise email correspondence.
• Manage calendars, meetings, appointments, demos, and schedules.
• Provide personal assistant support, including travel, scheduling, and coordination.
• Schedule sales appointments with qualified leads and document activity in the CRM.
• Manage, format, and version-control business documents.
• Conduct online, data, LinkedIn, and lead research.
• Assist with tender follow-up and sourcing new contacts.
• Prepare weekly and monthly sales, activity, board, and operational reports.
• Gather information and prepare supporting documentation for board reports.
• Support internal policies, procedures, manuals, and process documentation.
• Use automation tools and integrations to streamline processes.
• Coordinate travel bookings, events, staff bookings, and entertainment.
• Maintain professional standards, team culture, and company values.
• Perform other position-level duties as they arise.

• Minimum 4+ years’ experience in executive assistance, sales administration, business administration, client support, or a similar administrative support role.
• Experience supporting senior leaders, directors, managers, or sales teams in a fast-paced business environment.
• Experience with CRM software, including maintaining client records, updating deals, tracking communications, and documenting sales activity.
• Strong experience preparing proposals, quotations, reports, business documents, and client-facing correspondence.
• Experience in sales administration, appointment setting, client follow-up, tender support, or account management support is highly regarded.
• Strong email and calendar management skills.
• Intermediate Microsoft Word and Excel skills.
• Strong written and verbal English communication skills.
• Experience handling incoming and outgoing phone calls professionally is highly regarded.
• Strong organisational skills and ability to manage multiple tasks, competing priorities, deadlines, and stakeholder requests.
• High attention to detail.
• Ability to work under pressure, meet deadlines, and keep tasks moving without close supervision.
• Proactive, reliable, process-driven, and comfortable supporting executive and sales administration tasks.
• Experience using automation tools, integrations, or workflow improvements is advantageous.
• Professional, ethical, and able to maintain confidentiality.

• Mon - Fri: 9:00am – 6:00pm AEST/AEDT (adjustments will be made for daylight saving time)
