General Virtual Assistant

• Request, verify, and upload supplier price lists, promotional rates, and Netrivals competitor mappings into ERP and Store systems
• Identify unassigned SKUs, evaluate potential supplier options, and add new sourcing partners to company systems
• Verify supplier order confirmations against internal purchase orders for pricing, items, and quantities
• Draft purchase orders as assigned
• Follow up with suppliers on delivery schedules and enter updated ETAs into WeClapp ERP
• Notify internal teams about updated delivery statuses
• Obtain transport quotes and generate shipping labels
• Coordinate with UPS, DHL, DSV, and other carriers for order delivery
• Prepare commercial invoices and resolve shipping delays or carrier inquiries
• Create and update SKU product data according to SOPs
• Screen operational emails
• Draft customer quotes or sales orders upon request

• At least 6 months to 1 year of experience as a Virtual Assistant
• Experience in the e-commerce/procurement industry is a plus
• At least 18 years of age
• Completed Senior High School
• Excellent phone, email, and instant messaging communication skills
• Solid organizational and time management skills
• Able to work on a graveyard shift
• Tech-savvy and familiar with desktop sharing, cloud services, and VoIP
• Experience with word-processing software and spreadsheets, such as MS Office
• Knowledge of online calendars and scheduling, such as Google Calendar
• Proactive attitude and willingness to be trained
• USB headset with noise-cancellation feature
• Working webcam
• Computer with at least 1.8 GHz processor and at least 4GB RAM
• Main internet service speed of at least 25 Mbps cable connection
• Backup internet service speed of at least 10 Mbps
• Schedule availability during US work hours, 20–40 hours per week
